LATE & NO-SHOW POLICIES (WWS)
OUR POLICY
Late Registration:
Once registration closes, there are usually no more admissions to the tournament. Interested wrestlers are put on a Wait List and will be notified only if a spot becomes available. If a family keep bothering us to see if a spot is available, this only hurts their chances of getting in (since it's wasting time when we are very busy). Again, we will notify the small percentage of wrestlers, if any, who are accepted after the deadline passes. A late fee of $15 will be assessed if the wrestler is admitted.
Cancellations:
If you register for a WWS event and then must cancel, let us know as soon as possible. Cancellations should be rare, but if you must cancel after time slots are announced (usually on Wednesdays), let us know right away (i.e., Wednesday).
On the day before the event, there should be no cancellations except illness/injury or legitimate family emergencies. In all cases, please notify us ASAP so we can adjust brackets.
Although cancellations on the day of the event should also be rare, they are usually excused if you notify us more than two hours before the end of weigh-ins (but the sooner the better!). Again, this should only be due to sudden illness, game day injury, or family emergency. The only exception is Time Slot 1 wrestlers beginning first thing in the morning. Notifications 60 minutes before weigh-ins end are acceptable.
The only time we do not smile is when wrestlers fail to show up without notifying us. This results in a warning and inclusion our dreaded "watch list." If it happens again, the participant will not be allowed to compete. Again, we are sorry---we do this for the benefit of all the families who follow the process.
Late Arrivals at Tournaments:
If your wrestler arrives late for weigh-ins, he/she will automatically be put on "Standby." This means he/she may not get to wrestle. The exception is if we need them to complete a bracket (so that other wrestlers aren't adversely impacted). We will still weigh late arrivals (within reason) and let you know if they can participate as soon as we can.
Either way, the wrestler will receive a one-time warning. If it happens again, the wrestler will be prohibited from participating in future WWS events due to unreliability. The only exceptions to this policy would be paying a monetary penalty of $50 to be reinstated or volunteering to help at the event for at least two time slots (only if we need help). Again, this is a physical contact sport and match-ups are determined in advance. We will not risk safety or adversely impact coaches, families, and volunteers because someone doesn't arrive on time. Of course, we want every child to wrestle, but we won't negatively impact the vast majority of families for those who can't abide by our policies.
We don't mean to sound harsh, but traffic is not an excuse. Misreading emails is not an excuse. Parking is not an excuse. We do not want to scratch your late wrestler, but we will. Thanks to the vast majority of families who do this properly and make life easier for everyone involved!
