REGISTRATION LINKS
2023 Season Pass holders are guaranteed admittance into WWS events (as long as they register by the deadline). Others are automatically put on a Wait List. As soon as we determine if there is space, we will accept as many Wait List wrestlers as possible. We normally know early in the week (before the event) if Wait List wrestlers will be accepted. In some cases, we know sooner. However, sometimes we don't know until the night before the tournament (due to a late scratch). If you don't hear from us, assume your wrestler did not get in. If you are on the Wait List and later decide you're not interested, please let us know so we can update the list. Thank you.
IMPORTANT POLICIES! (PLEASE READ)
Registration Deadlines: Few exceptions, if any, are made for persons who miss registration deadlines. If TOP needs additional wrestlers in a certain weight class or if a participant can easily be accommodated, a late registrant may be accepted. However, there is a late fee of $15 for the additional administrative work created.
After the Registration Deadline, we immediately start working on brackets. Once finalized (no later than 2 days before the event), we email you a detailed schedule that includes your "time slot" which tells you when to arrive (this is also posted on our web site). In general, elementary school wrestlers (starting with lightweights) begin first in the morning, and middle school wrestlers (ending with heavier weights) wrap up the day. You can generally plan to compete around the same time at most WWS events, but you never know for sure until brackets are finalized. So be prepared to be somewhat flexible. If you discover the time slot doesn't work for you, please let us know immediately.
Cancellations and No-Shows:
If you register for a WWS event and then must cancel, please let us know as soon as possible. Cancellations should be rare, but if you must cancel after time slots are announced (usually Wednesday), let us know right away.
On the day before the event, there should be no cancellations except illness/injury or legitimate family emergencies. In all cases, please notify us ASAP so we can adjust brackets.
Although cancellations on the day of the event should also be rare, they are usually excused if you notify us more than 1 hour before weigh-ins begin (but the sooner the better!). Again, this should only be due to sudden illness, game day injury, or family emergency. The only exception to the above timing is Time Slot 1 wrestlers beginning early in the morning. Notifications anytime before weigh-ins begin are acceptable for time slot 1 wrestlers.
The only time we do not smile is when wrestlers fail to show up without notifying us. This results in a warning and inclusion our dreaded "watch list." If it happens again, the participant will not be allowed to compete (or pay a hefty fine to be reinstated). Again, we are sorry---we do this for the benefit of all the families who follow the process. We try very hard to run efficient events that honor the time and schedules of our families. Further, wrestling is a combat sport and match-ups are carefully determined in advance. We will not risk safety or adversely impact coaches, families, and volunteers because someone doesn't show up or fails to arrive on time. Of course, we want every child to wrestle, but we won't negatively impact the vast majority of families for those who can't abide by our policies.
Late Arrivals at Tournaments:
If your wrestler arrives late for weigh-ins, he/she is automatically put on "Standby." This means he/she may not get to wrestle. The exception is if we need them to complete a bracket (so other wrestlers aren't adversely impacted). We will still weigh late arrivals (within reason) and let you know if they can participate as soon as we know.
Either way, the wrestler will receive a one-time warning. If it happens again, the wrestler will be prohibited from participating in future WWS events due to unreliability. The only exceptions to this policy would be paying a monetary penalty of $50 to be reinstated (similar to our no-show policy, but at least this participant showed up, thus a lesser reinstatement fee).
We don't mean to sound harsh, but traffic is not an excuse. Misreading emails is not an excuse. Parking is not an excuse. We do not want to scratch late wrestlers, but we will. Thanks to the vast majority of families who do this properly and make life easier for everyone involved!
Refund Policy---There are no prorated refunds for Season Pass holders who don't attend events. For those paying to enter a specific tourney, we will issue refunds (less a $5 processing fee) if the participant cancels before the registration deadline. After the deadline, there are no refunds.
